Sponsorship Coordinator

Position Summary

Midwest Dreamin’ is a community-led Salesforce conference powered entirely by volunteers who believe in connection, learning, and giving back. The Volunteer Sponsorship Coordinator exists to ensure the financial sustainability of the event by building meaningful partnerships with organizations that support the community. This role transforms sponsorship from last-minute fundraising into a structured, relationship-driven program that helps the conference thrive year after year.

Measures of Success
  • Sponsorship pipeline established and actively maintained
  • Sponsor commitments secured in alignment with conference needs
  • Clear, consistent communication with sponsors, board members and the planning committee
  • Sponsor benefits delivered accurately and on time
  • Positive sponsor experience resulting in strong relationships and future interest
  • Organized tracking of sponsor information, contracts, and deliverables
Position Responsibilities:
  • Identify, research, and develop a pipeline of potential sponsors
  • Conduct outreach and relationship-building with prospective and returning sponsors
  • Clearly communicate sponsorship value and benefits
  • Coordinate sponsorship packages, contracts, and benefit fulfillment
  • Track sponsor commitments, payments follow-ups, and required materials
  • Collaborate with the planning committee to align sponsorship strategy
  • Support sponsor logistics leading up to and during the conference
  • Serve as a primary point of contact for sponsor questions and needs
  • Ensure sponsors receive promised recognition and deliverables
  • Provide post-event follow-up and appreciation communications
Knowledge, Skills and Abilities:
  • Strong written and verbal communication skills
  • Relationship-building and networking ability
  • Organizational skills with attention to detail
  • Self-motivated and able to work independently
  • Ability to bring structure to ambiguous or evolving processes
  • Professionalism and accountability in volunteer environments
  • Comfort using common business tools (CRM, email, collaboration platforms)
  • Ability to collaborate across a volunteer team
Experience / Education:
  • Experience in sales, partnerships, fundraising, customer success, or event coordination preferred
  • Demonstrated ability to initiate projects and follow through to completion
  • Familiarity with the Salesforce ecosystem helpful but not required
  • Open to motivated candidates who can quickly learn and execute
Time Commitment & Volunteer Benefits:
  • A few hours per week during most of the year
  • Increased time commitment as the event approaches
  • Required on-site participation July 14–17, 2026 in Minneapolis, MN
  • Attendance at committee meetings
    • January – end of February, every other week at 4:30 PM CST
    • March – July, every week at 4:30 PM CST
  • Remote work outside of event dates

Complexities and Conditions of “Employment”:
  • This position handles sponsor contact information, agreements, and coordination materials. Care must be taken to maintain professionalism and confidentiality of sponsor communications.
  • (Required) Physical/ Environmental Demands: Sitting and/or standing, keyboarding, reading, grasping, mousing, handwriting for extended periods are essential requirements of the position. Event setup activities may involve light lifting.
  • This position is primarily remote, with required on-site presence in Minneapolis, MN from July 14–17, 2026.
  • Travel: Required travel to Minneapolis, Minnesota for the event (travel expenses not specified).
  • This position requires availability during evenings and weekends as needed for meetings and event support.
  • Must be 18+ and US-based.

On-site/During Midwest Dreamin’ Volunteer Role Descriptions

Set up

  • Assist with setting up for the event including putting up signs, coordinating with expo vendors and setting up registration check-in area.

Registration Check-in

  • Check people in using the Whova App and hand out badges/lanyards. Provide information to newly arrived attendees about the event or venue as directed by the MWD Planning Team. There may be additional goodies to hand out such as bags, schedules and raffle tickets which we will have finalized when you arrive.

Session Room Monitor

  • Smiling face to welcome people into session rooms. Assist the presenter with whatever they need prior to the session start and ensure the room is ready to go by confirming the A/V works and chairs are in order. Get a headcount of the number of attendees in the session.
    • Assist with passing the microphone during Q&A
    • Monitor timing of the session to let the presenter know how much time is left. 10- and 5-minute warnings.

Tear Down

  • Assist with breaking down the event space including signs, coordinating with expo vendors and registration check-in area.
